About PDF to Excel
Get tables out of a PDF and into a spreadsheet you can sort, filter and calculate with. Upload a PDF with tables, such as a price list, invoice, report or schedule, and download an Excel (XLSX) or CSV file. Columns are detected from the layout of the page, and numbers become real numbers in Excel, so totals and formulas work straight away.
What kind of PDFs work best
PDF to Excel reads the real text inside a PDF and rebuilds the tables as rows and columns. It works best with PDFs created by a program: price lists, invoices, reports, timetables, sales summaries and exports from accounting or school systems. If you can select a number in your PDF reader and copy it, the file is a good candidate.
Scanned pages and phone photos are pictures without any text inside, so there is nothing to put into cells. For those, the original program or a typed copy is the better source.
One sheet or one sheet per page?
- All pages in one sheet (default) joins a long table that runs over many pages into one continuous list. Repeated column headings at the top of each page are recognised and not copied again, so you can sort and filter the whole table straight away.
- One sheet per page keeps every page on its own tab. Choose it when each page holds a different table, such as separate monthly reports in one PDF.
Choose XLSX for Excel, Google Sheets, Numbers and LibreOffice, with real number and date cells. Choose CSV for importing into accounting software, databases or other tools that ask for a simple text file.
Tips for clean spreadsheets
- Password-protected PDF? Type the password in Options. It is used only to open the file for that conversion and is never stored.
- Check totals after converting. Use Excel's SUM on a column and compare it with the total printed in the PDF; it is the quickest way to confirm nothing was missed.
- Bank or credit card statement? Use Bank Statement PDF to Excel instead. It is built for transactions and adds a balance check.
- Only a few pages contain tables? Take them out first with Extract pages from PDF for a tidier result.
Frequently asked questions
Does it work with scanned PDFs?
It works with PDFs that have real, selectable text, such as files exported from a program or downloaded from a website. A scan or photo of a page has no text inside it, so there is nothing to put into the spreadsheet.
Can I get one sheet per page?
Yes. Open Options and choose "One sheet per page". By default all pages go into one sheet, which is easiest when a long table runs across several pages.
My PDF has a password. Can I still convert it?
Yes. Type the password in Options. It is only used to open the file for this conversion and is never saved.
Will numbers work in Excel formulas?
Yes. Amounts are saved as real numbers, not text, so SUM, sorting, filters and pivot tables work without extra cleanup.
Can I convert a PDF to Google Sheets?
Yes. Download the XLSX file and open it in Google Sheets with File, then Import, or simply upload it to Google Drive and open it there.
